Do you plan to get the word out to your prospects with lint in your
pocket? My answer is absolutely. Creating news and getting free
publicity
are two of the easiest ways to get your business recognized at no
cost to you. Press releases can be a very cost effective (FREE) measure
in your marketing campaign. Don't have a marketing campaign? Stay
tuned to this newsletter!
Regardless of whether your business is a bricks and mortar or Internet
based, it is important to establish a strong online (in your field)
and offline (local) media contacts for future publicity. You should
contact each source and inquire about the following information: type
of media; newspapers, tabloids, radio, etc., name of media, address,
contact name, title, contact phone & ext., fax, and email, preferred
delivery method; email, fax, mail, and deadlines. It is good idea
to store this information in a database or spreadsheet and periodically
keep it up to date for two main reasons. The time wasted with
undeliverables
and nothing more embarrassing then sending it to the wrong person.
A Press Release is used to STIMULATE THE INTEREST of the editor NOT
TO SELL them your product or services. Your Press Release should give
just enough information about your product or service and leave them
wanting more. What better reason to call you and follow up!
Before writing your Press Release, consider who your targeted audience
is? What information you want to pass on to your readers? Are you
providing valuable information or just another sales pitch? (If you
opted for the latter, trash it right now.) What inspired you to write
a Press Release? Is your Press Release tone formal or informal? What
results do you hope to accomplish with the Press Release (increase
sales, distribute literature, etc.)?
A few rules of engagement:
1. NEVER send an HTML Press Release. Not all email boxes are created
equal.
2. DO NOT send attachments with the email. Always include the Press
Release in the body of the email message.
3. If sending to multiple online editors, use the BCC field. Otherwise,
they will be wading through email addresses and might not get to read
your important news.
4. Your headline and first paragraph will immediately tell the publisher
if your Press Release is worth reading.
5. Absolutely ERROR FREE and to the point! Spelling, punctuation,
grammar, you know those great things they taught us in School.
6. Deadlines! If your Press Release is time sensitive, make sure you
are sending it well in advance of the publisher's deadline.
Press Release Format:
1. At the top left hand margin of the page print FOR IMMEDIATE RELEASE
or FOR RELEASE
2. Provide a CONTACT, incase the editor needs to reach your for further
details or to setup an interview. Contact: Name, Title, Address, Phone,
Email
3. The HEADLINE should be CENTERED on the page, BOLD and ALL CAPS.
Use an ATTENTION GETTER.
4. Your Summary Paragraph should lead off with Your City & State and
then the date (i.e. Oak Creek, Wisconsin - September 19, 2000) and
should be approximately 3-4 lines summary stating important point
of what your Press Release is about. Stick with the Who, What, When,
Where, and Why format. The remainder of the body should include
tantalizing
details that tease the reader!!
5. Concluding your Press Release should include "for more
information"
line and lead the reader to a place they can get MORE information.
Ideally a website or a phone. When you are finished, skip a few more
lines and type ### or -30- in the center of the page. Why, to let
the reader know your Press Release is finished.
